The Meeting Supervisor plays a crucial role in coordinating and executing speaker bureau operations, ensuring that all activities are managed with precision and compliance.

• Coordinate logistics for speaker-led programs and live events.
• Negotiate vendor contracts for meetings.
• Manage end-to-end program logistics including travel and venue selection.
• Build registration websites using CVENT.
• Ensure quality control of client materials.
• Attend project briefings and internal meetings.
• Work on-site at meetings to coordinate logistics.
• Review and reconcile invoices and costs.
• Track attendee spend reports for compliance.
• Identify operational improvements for program execution.

Requirements

• Bachelor’s degree or 5-8 years in pharmaceutical hospitality.
• Experience in planning live, virtual, or hybrid meetings.
• Proficiency in managing speaker programs through a portal.
• Experience with trade shows and congress planning.
• Strong knowledge of hotel bookings and travel.
• Experience with Cvent and strong Excel skills.
• CMP certification is preferred.
• Willingness to travel 25-30% of the time.
• Preferred candidates from the Central Time Zone.
