Overview

The Executive Assistant serves as the right hand to the Commercial Management, acting as a liaison to department heads in areas such as People Team, Back Office, Finance, and Facility Management. You will coordinate, document, and oversee processes to ensure smooth collaboration.

In Short

  • Coordinate communication between Commercial Management and department heads.
  • Effectively manage and prioritize topics to relieve the Commercial Management.
  • Plan, control, and monitor projects using project management software.
  • Oversee the implementation of strategic directives and assist department heads in achieving goals.
  • Document and report relevant metrics, results, and progress.
  • Establish, optimize, and monitor processes within the commercial organization.
  • Prepare, follow up, and take minutes of meetings, including tracking actions.
  • Create reports, analyses, and presentations to support decision-making.
  • Ensure compliance with deadlines and quality standards.

Requirements

  • Completed commercial training or degree in a relevant field.
  • Several years of experience in a similar assistant role, ideally with direct responsibility for coordinating commercial processes.
  • Solid experience in Finance, HR, Back Office, and Facility Management.
  • Proven experience in personnel management and responsibility.
  • Experience in leading and monitoring projects, using project management software.
  • Strong ability to coordinate and manage interdisciplinary processes.
  • High level of initiative, responsibility, and structured working style.
  • Strong communication skills and diplomatic tact in dealing with internal and external stakeholders.
  • Confidentiality, discretion, and a confident demeanor.
  • Very good knowledge of project management and office software (word processing, spreadsheets, presentations).
  • Fluent in German and English, both written and spoken.
