Overview

The Virtual Medical Receptionist serves as the first point of contact for patients, managing a high volume of inbound calls and appointment requests in a professional and efficient manner. This role is crucial to ensuring smooth clinic operations and delivering excellent patient service in a virtual environment.

In Short

  • Manage a high volume of inbound calls using the Weave softphone system.
  • Schedule, reschedule, and cancel patient appointments in the EMR system (Athena).
  • Fill cancelled slots promptly and manage waiting lists.
  • Provide friendly, accurate information to patients regarding services and policies.
  • Gather and verify patient demographics and insurance information.
  • Support pre-authorization processes as needed.
  • Document patient interactions accurately in the EMR.
  • Coordinate with onsite/admin staff for tasks requiring physical presence.
  • Maintain confidentiality and comply with HIPAA guidelines.
  • Work in a remote setup during the night shift.

Requirements

  • At least 3 years of experience in customer service, preferably in a medical/healthcare setting.
  • Hands-on experience with EMR systems (Athena experience is a plus).
  • Familiarity with phone systems/softphones (Weave experience is a plus).
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Excellent verbal and written communication skills.
  • Knowledge of insurance verification and pre-authorization processes.
