Overview

We are seeking an accomplished, highly skilled, and proactive Executive Assistant to provide exceptional support to our Chief Executive Officer, and on a lighter basis to our Chief People Officer. As a pivotal member of our rapidly growing company, you will play a crucial role in influencing the success of our organization. This role requires someone who excels in intricate planning, overseeing complex logistics, has event planning instincts, and expresses extremely strong written and oral communication skills.

In Short

  • Reduce the administrative burden on executives by performing core tasks including calendar, travel, event coordination, expenses, and meeting planning.
  • Improve executive and team performance by making suggestions to improve processes, time management, prioritization, delegation, and organization.
  • Coordinate meetings and large events, both internally and externally (including with Omada’s Board of Directors and investors).
  • Act as the point of contact with internal/external stakeholders as an important ambassador of our company.
  • Create communication documents for internal and external use.
  • Partner with the CEO and other executives to support special projects and requests.
  • Travel to local and remote meeting sites and personally direct activities at special functions; have responsibilities for coordinating major communication events.

Requirements

  • A minimum of 7-10 years of executive-level support experience, demonstrating mastery in managing complex responsibilities.
  • Exceptional organizational and time management skills, with a demonstrated ability to manage details meticulously.
  • High integrity with a strong respect for confidentiality and discretion.
  • Outstanding interpersonal communication skills across various mediums (in-person, email, Zoom, and phone).
  • Autonomous and self-motivated, capable of executing tasks with minimal oversight.
  • Positive, proactive attitude with a passion for supporting executive leadership and contributing to organizational success.
  • Experience in a dynamic, fast-paced environment coupled with a commitment to company values.
