The Legal Intake Operations Specialist (Client Intake Specialist) is an essential member of the Ellis Porter (EP) team, helping deliver a remarkable immigration experience to our clients worldwide. With strong communication skills and a solutions-oriented approach, you will ensure that every client interaction reflects EP’s commitment to clarity and exceptional service.

In Short

• Conduct initial client consultations and eligibility screenings via phone, Microsoft Teams, and email.
• Maintain accurate, up-to-date client records in HubSpot.
• Send contracts to eligible clients and ensure timely execution.
• Manage communication with prospective and existing clients.
• Support multiple attorney teams by coordinating leads and managing calendars.
• Assist attorneys in reviewing atypical cases.
• Promote a positive and collaborative team environment.
• Perform additional duties as assigned by management.

Requirements

• Bachelor's Degree, or equivalent relevant experience.
• 1+ years of experience in a customer service or administrative role.
• Proficiency in HubSpot and Microsoft Office.
• Strong organizational skills and attention to detail.
• Excellent communication skills.
• Proficiency in additional languages is valued.
• Ability to work effectively both with a team and independently.
• Cultural sensitivity and passion for supporting immigrants.
• Experience working in remote or hybrid environments preferred.
