Overview

The Executive Assistant to the CEO and Office Manager will coordinate the CEO’s schedule, manage office operations, and provide HR support in a fast-paced environment.

In Short

  • Coordinate and manage the CEO’s calendar using Google Workspace.
  • Arrange travel itineraries and logistics for the CEO.
  • Organize and facilitate meetings, including agendas and follow-ups.
  • Oversee logistics for executive-level meetings and events.
  • Track and reconcile expenses related to the CEO’s office.
  • Handle sensitive information with discretion.
  • Lead and execute special projects as assigned.
  • Manage daily office operations and vendor relationships.
  • Assist in recruitment processes and maintain HR documentation.
  • Proactively anticipate the needs of the CEO.

Requirements

  • Bachelor’s degree.
  • Five years of administrative assistance experience.
  • At least 2 years’ experience reporting to the C-Suite.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Google Workspace; experience in Ramp, Slack, HubSpot, and Rippling desirable.
  • Ability to multitask and prioritize effectively.
  • High level of professionalism and discretion.
  • Occasional availability outside of normal business hours required.
  • Proactive ability to anticipate the needs of the CEO.
