Overview

We are seeking an experienced Executive Assistant to provide high-level administrative support to our executive team. The ideal candidate will be proficient in managing calendars, booking travel, and handling various administrative tasks to ensure smooth operations.

In Short

  • Manage executive’s calendar and coordinate meetings across time zones.
  • Book and oversee travel arrangements including flights, hotels, and transportation.
  • Prepare meeting agendas, take notes, and organize digital files.
  • Process expense reports and handle basic finance-related admin tasks.
  • Monitor and prioritize emails on behalf of the executive.
  • Track deadlines and ensure timely follow-ups on action items.
  • Coordinate events, offsites, and meetings as needed.
  • Communicate with internal teams and external partners on behalf of the executive.
  • Support the executive’s day-to-day priorities to keep operations running smoothly.
  • 5+ years of experience in a similar support role is required.

Requirements

  • Proficiency with calendar management tools (Google Calendar, Outlook).
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Experience in handling tasks like expense reports, meeting notes, and document organization.
  • Experience using platforms like Asana or Trello is a plus.
  • Experience supporting multiple executives is a plus.
  • Comfortable organizing logistics for team events and meetings.
