In Short

  • First point of contact for patients in a family practice and med spa.
  • Handle inbound/outbound calls and manage appointment scheduling.
  • Prepare and submit referrals and track prior authorizations.
  • Collect and verify patient demographics and insurance details.
  • Coordinate with the clinical team for patient requests.
  • Support med spa bookings and provide service information.
  • Follow HIPAA-safe workflows and maintain accurate documentation.

Requirements

  • 3–4+ years in a healthcare front desk or medical admin role.
  • Clear English communication skills, especially on the phone.
  • Knowledge of referrals and prior authorizations.
  • Proficient in scheduling using EHR/EMR systems.
  • Strong customer service and phone etiquette skills.
  • Detail-oriented with fast typing abilities.
  • Comfortable using VoIP tools and basic office applications.
  • Awareness of HIPAA regulations.
