The Executive Assistant - Project Coordinator will support a busy freelance producer in the advertising industry, focusing on organizing multiple ongoing projects and ensuring deadlines are met.

  • Act as a project management assistant—organize and track multiple jobs across different agencies.
  • Maintain clear schedules, budgets, and timelines, ensuring all production milestones are met.
  • Organize priorities and delegate tasks to the producer.
  • Assist with calendar management and task tracking via Google Workspace.
  • Keep communication organized across clients and vendors.
  • Provide general executive assistant support.
  • Proactively anticipate needs and suggest solutions to improve workflow.

Requirements

  • 3–4 years experience as an Executive Assistant, Project Coordinator, or similar role.
  • Strong organizational and project management skills.
  • Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets).
  • Excellent communication skills in English.
  • Ability to work Eastern Standard Time (EST) hours.
  • Proactive mindset—able to anticipate needs and keep projects on track.
  • Comfortable learning advertising/production terms and processes.
