Overview

We’re seeking a full-time proactive Executive Assistant / Operations Coordinator to streamline day-to-day operations for a hospital-facing medical device repair business.

In Short

  • Manage shared inboxes and scheduling via Missive and Outlook.
  • Create and maintain accounts, contacts, and service requests in Odoo.
  • Generate daily/weekly reports on task progress and completions.
  • Verify completed service reports and track A/R follow-ups.
  • Receive service-request calls and provide status updates to clients.
  • Collaborate with leadership using VoIP and screen-sharing tools.

Requirements

  • 2+ years in Executive Assistant, Operations Coordinator, or Service Operations support.
  • Strong CRM proficiency, Odoo experience is a plus.
  • Excellent written and spoken English with a professional phone manner.
  • Proven accuracy with data entry and reconciliation.
  • Experience with invoicing and creating client-ready communications.
  • Comfortable with real-time collaboration during EST hours.
