Overview

The Vital Records Assistant position at the Department of Health and Human Services involves performing various planning, data collection, and administrative tasks related to the registration and administration of Maine's vital events.

In Short

  • Full-time position located in Augusta with partial telework options.
  • Maintain the genealogist database and process requests for records.
  • Review physician reports for compliance with legal requirements.
  • Compile and enter operational totals for vital records services.
  • Prepare reports, charts, or graphs on revenue generated from vital record reports.
  • Support front desk operations and provide excellent customer service.
  • Handle incoming and outgoing mail and update accounting spreadsheets.
  • Cross-train across all areas of vital records.
  • Demonstrate reliability and strong communication skills.
  • Work in a fast-paced environment with attention to detail.

Requirements

  • Two years of education or experience in statistics, research methods, or economic analysis.
  • Excellent organizational and interpersonal skills.
  • Strong customer service skills with diverse constituents.
  • Ability to work in a multi-tasked environment.
  • Proficient in office procedures and basic computation.
  • Ability to accurately enter or retrieve information from a database.
  • Ability to establish effective working relationships.
  • Excellent written communication skills.
  • Comfort with learning new applications as required.
  • Knowledge of Maine statutes related to vital records is preferred.
