Overview

We are seeking a detail-oriented and organized Virtual Assistant (VA) Secretary to support our service company with administrative and financial tasks. The ideal candidate will be responsible for creating proposals, managing invoicing and billing, handling customer collections, and performing bank reconciliation. QuickBooks Desktop expertise is a must. This role requires strong organizational skills, attention to detail, and excellent communication abilities.

In Short

  • Prepare and send proposals to potential and existing clients.
  • Generate and process invoices accurately and ensure timely billing to customers.
  • Manage customer collections, follow up on overdue accounts, and maintain records of payments.
  • Perform bank reconciliation to ensure financial records are accurate and up to date.
  • Maintain and update financial records using QuickBooks Desktop.
  • Monitor accounts receivable and payable, ensuring proper documentation and timely processing.
  • Communicate with clients regarding billing inquiries and payment arrangements.
  • Assist with other administrative tasks as needed, such as scheduling, email management, and document organization.

Requirements

  • Proven experience as a Virtual Assistant or in a similar administrative role.
  • Proficiency in QuickBooks Desktop.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with invoicing and billing processes.
  • Experience in customer service and collections.
  • Ability to work independently and as part of a team.
