Overview

We are seeking a wicked organized, tech-savvy, and proactive Office Assistant to serve as the "connective tissue" between Sales, Design, and Production teams. This role involves working collaboratively to ensure the sales process runs smoothly and efficiently.

In Short

  • Monitor inbound leads and conduct research to determine lead value.
  • Lead communications for monthly estimates to secure necessary deposits.
  • Research promotional products and present organized data for Sales approval.
  • Draft design briefs using Gemini AI based on salesperson notes.
  • Maintain activity in the internal project management system.
  • Create project folders and organize assets in the CRM.
  • Coordinate customer communications using a cloud-based phone system.
  • Stay in sync with the team via video meetings and Slack.

Requirements

  • Strong organizational skills.
  • Proficient in communication and customer service.
  • Experience with project management tools.
  • Familiarity with CRM systems.
  • Tech-savvy with the ability to learn new tools quickly.
  • Ability to work collaboratively with different teams.
  • Proficiency in English; Spanish is a plus.
