Head of Operations - Remote

Overview

The Head of Operations at Proven is a senior leadership role responsible for driving operational excellence, standardizing internal systems, and enabling scalable growth. This individual will architect and oversee the execution of firm-wide processes, manage operational staff performance, and ensure that onboarding, service delivery, and internal systems align with Proven’s strategic goals. The role demands a proactive leader who thrives in dynamic environments and excels in optimizing people, processes, and platforms across a distributed organization.

In Short

• Partner with the CEO and executive team to align operations with the firm’s long-term vision and quarterly OKRs.
• Lead the development and ongoing refinement of company-wide SOPs that support client service excellence, efficient workflows, and scalable team onboarding.
• Establish and monitor core operational KPIs, delivering insights to leadership and identifying areas for continuous improvement.
• Ensure accountability by facilitating weekly performance reviews, operational audits, and compliance with internal policies.
• Oversee resource allocation and staffing plans in coordination with Fractional Executives and AMCLs.
• Conduct regular 1:1s and team meetings with key leaders to support performance and professional development.
• Own the client onboarding process, ensuring all new engagements follow a streamlined, standardized path.
• Manage firm-wide operations tools, driving adoption and ensuring data integrity.
• Act as the operational liaison between departments to ensure alignment and communication.
• Lead weekly operations check-ins and prepare the Weekly Operations Scorecard.

Requirements

• Proven experience in operational leadership roles.
• Strong understanding of process optimization and performance management.
• Excellent communication and team coordination skills.
• Experience with operational tools such as Karbon, Keeper, Asana, and Slack.
• Ability to drive strategic initiatives and manage change.
• Experience in client onboarding and service delivery management.
• Strong analytical skills for KPI monitoring and reporting.
• Proven ability to mentor and develop team members.
• Experience in cross-functional collaboration is a plus.
