Overview

The Meeting Supervisor is responsible for managing all logistics related to meetings, ensuring high-quality standards, and overseeing budget management while collaborating with various stakeholders.

In Short

• Manage all program logistics including venue selection and contract negotiations.
• Build and customize registration websites and recruitment materials.
• Ensure quality control of client materials and develop best practices.
• Produce congress activity decks and coordinate with agencies.
• Review and approve meeting specifications and offer cost-reduction recommendations.
• Provide standard and customized reports to clients.
• Attend project briefings and internal meetings.
• Work on-site at meetings and coordinate logistics.
• Review and reconcile final invoices.
• Identify operational change opportunities for efficiency.

Requirements

• Bachelor’s degree or 5-8 years in a pharmaceutical hospitality role.
• Experience in planning live, virtual, or hybrid meetings.
• Proficiency in managing speaker programs and technical troubleshooting.
• Experience with Trade Shows and Convention planning.
• Knowledge of Cvent or similar registration platforms.
• CMP certification preferred but not required.
• Willingness to travel 25-30% of the time.
• Preferred candidates from the Central Time Zone.
