Overview

We’re hiring a detail-oriented Office Administrator to keep operations running smoothly, owning calendar management, Airtable databases, Excel reporting, and day-to-day admin. You’ll coordinate schedules, tidy information flows, and support the team with fast, accurate execution.

In Short

  • Manage executive/team calendars and schedule meetings across time zones.
  • Prepare agendas, circulate materials, and take action-oriented notes.
  • Build and maintain Airtable bases ensuring data hygiene.
  • Create simple interfaces and dashboards for stakeholders.
  • Maintain trackers and weekly reports using Excel.
  • Organize documents and manage vendor coordination.
  • Handle meeting logistics and travel bookings if needed.
  • Maintain SOPs and improve workflows.
  • Uphold confidentiality in all operations.

Requirements

  • 2+ years in Office Admin/Operations/EA or similar.
  • Confident with Airtable bases and automations.
  • Proficient in Excel/Google Sheets with data cleaning skills.
  • High-volume calendar management skills.
  • Familiarity with tools like Gmail, Google Drive, Zoom, and Slack.
  • Excellent written and spoken English; strong attention to detail.
