Overview

The client is seeking a bilingual Healthcare Virtual Assistant with experience in surgical coordination, medical documentation, and authorization workflows to support a surgical practice. You will be the administrative backbone of the pre-operative process, ensuring all clearances, labs, imaging, and referrals are tracked, verified, and correctly filed. Your role will require excellent communication skills, attention to detail, and a collaborative approach.

In Short

• Full-time position with work hours from 8:00am to 5:00pm EST, Monday to Friday.
• Responsibilities include surgical booking authorizations and pre-operative clearance coordination.
• Retrieve medical records and clearance paperwork from external sources.
• Verify received documentation for completeness and accuracy.
• Upload verified documents into patient charts in AdvancedMD.
• Handle authorization requests and manage referral documentation.
• Perform insurance eligibility verification and patient intake processing.
• Communicate with patients and medical offices via phone, text, and email.
• Coordinate scheduling related to surgical cases.
• Maintain accurate chart organization and documentation standards.

Requirements

• Bilingual in English and Spanish.
• Experience in healthcare administration or virtual assistance.
• Strong communication skills.
• Attention to detail and organizational skills.
• Familiarity with EHR systems, preferably AdvancedMD.
• Ability to handle sensitive patient information confidentially.
• Proficient in using communication tools and technology.
• Ability to work independently and collaboratively.
• Experience in surgical coordination is a plus.
