Virtual Operations Assistant - UGC Management - Remote

We are currently looking for a motivated, proactive and detail-oriented Virtual Operations Assistant to manage the full creator pipeline.

In Short

• Research and source new UGC creators based on agency criteria.
• Send outreach messages and follow up with potential creators.
• Manage approvals and ensure high-quality candidates join the pipeline.
• Manage creator communication through WOP (centralized system).
• Assist in moving away from scattered messaging (IG DMs, TikTok) into streamlined platforms.
• Forward pre-written messages and voice notes to creators.
• Escalate creator questions in Slack to management for guidance.
• Maintain Notion and Excel trackers for creator onboarding, submissions, and pipeline progress.
• Keep the community updated and organized within WOP.
• Provide daily updates and ensure no steps in the process are missed.

Requirements

• Proactive and organized individual.
• Experience in virtual assistance or similar roles.
• Strong communication skills.
• Familiarity with Notion and Excel.
• Ability to manage multiple tasks and priorities.
• Interest in influencer/UGC industry.
