Overview

The Executive Support Specialist provides administrative support for the Chief Investment Officer and senior management in the Investment Division, serving as a key communication link.

In Short

  • Coordinate meetings and manage the CIO's calendar.
  • Maintain files and prioritize incoming communications.
  • Research and arrange travel details.
  • Prepare and process expense reports.
  • Assemble and distribute meeting materials.
  • Facilitate purchases and maintain accurate records.
  • Provide front desk and phone coverage as needed.
  • Work in a hybrid schedule with in-office requirements.
  • Engage in customer service and problem-solving tasks.
  • Adapt to changing work demands and priorities.

Requirements

  • Three years of clerical/secretarial experience.
  • Experience in administrative support for executive-level management.
  • Strong communication skills, both oral and written.
  • Ability to work independently and take initiative.
  • Detail-oriented with excellent organizational skills.
  • Proficient in Microsoft Office Suite.
  • Experience in customer service and problem-solving.
  • Ability to manage multiple tasks and priorities.
  • Demonstrated interpersonal skills and emotional intelligence.
  • Flexibility and adaptability to changing environments.
