Executive Assistant (Construction Finance & Operations) - Remote

Overview

We are seeking a highly organized, detail-oriented Executive Assistant with deep Construction Accounting and Finance skills to support executive leadership and project operations in a fully remote role.

In Short

• Fully remote position with overlap with U.S. Eastern Time hours.
• Independent Contractor, Full-Time role.
• Support executive leadership in design and construction operations.
• Manage calendars, schedule meetings, and coordinate documentation.
• Assist with construction billing and job cost tracking.
• Proficient in QuickBooks for construction.
• Prepare monthly billing and requisition packages.
• Coordinate with bookkeeper and CPA for compliance.
• Potential to evolve into a Controller role.
• Work Monday to Friday, 9:00 AM – 6:00 PM EST.

Requirements

• Experience in U.S. construction or design-build environments preferred.
• Deep knowledge of construction accounting and finance.
• Strong organizational and detail-oriented skills.
• Fluency in design and construction terminology.
• Ability to provide high-level administrative support.
• Experience with project-based accounting workflows.
• Proficient in QuickBooks for construction.
• Excellent communication skills.
• Ability to work independently and manage multiple tasks.
• Ability to adapt to a growing business environment.
