Project Operations Specialist - Remote

Overview

The Project Operations Specialist is responsible for supporting project operations through vendor onboarding, purchase order processing, invoice management, and compliance documentation within the construction industry.

In Short

• Onboard new vendors for Corporate and Construction team support.
• Process PO requests in NetSuite (2x/per week).
• Participate in invoice approval workflow within ACC.
• Collect certificates of insurance from subcontractors.
• Assist with requesting business licenses and insurance certificates.
• Ensure compliance with financial documentation.
• Maintain and monitor PO Request Responses Form.
• Generate PDF copies of approved invoices for processing.
• Support contract workflows post-budget upload.
• Coordinate with finance and vendors effectively.

Requirements

• Bachelor's degree in Business Administration, Accounting, or related field preferred.
• At least 2 years of experience in project operations or accounting support.
• Proficient in NetSuite and familiar with Autodesk Cloud Construction.
• Strong proficiency in Microsoft Excel and Google Sheets.
• Detail-oriented with strong organizational skills.
• Excellent communication and coordination skills.
• Proactive and able to manage multiple tasks.
• Understanding of GL coding and invoice processes.
• Knowledge of certificates of insurance and permitting requirements.
• Experience working with US-based companies preferred.
