Overview

We are looking for an experienced and driven Executive Assistant who will provide operational support to an Executive Leader and will be a part of our Team in Ukraine.

In Short

  • Proactively manage and update the executive’s calendar, ensuring all priorities, deadlines, and commitments are met
  • Take accurate minutes of meetings, summarize key points, and track follow-up actions
  • Coordinating events, projects, activities, ensuring smooth execution and timely delivery
  • Conduct research, compile data, and prepare clear reports and documents to support decision-making
  • Support the executive with a wide range of daily tasks and responsibilities with discretion
  • Organize travel arrangements and provide ongoing logistical support
  • Prepare presentations, reports, and communication materials for internal and external use
  • Compile agendas, briefing materials, and supporting documents for meetings
  • Plan and structure the executive’s working week to maximize efficiency and focus
  • Suggest and implement improvements to workflows and processes where needed
  • Working effectively with native English speakers and senior stakeholders on a daily basis.

Requirements

  • Fluent in written and spoken English
  • Organizational and time management experience in a similar position (2+ years)
  • Strong administrative and coordination skills
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook)
  • Flexible availability to work across multiple time zones
  • Skilled at prioritizing tasks and maintaining focus under pressure
  • Capable of handling confidential or sensitive matters with discretion and professionalism
  • Confident, proactive, and able to work independently with minimal supervision
  • Collaborative team player with the ability to learn quickly
  • Bachelor’s or Master’s degree
