Overview

We are seeking a highly organized and proactive Executive Assistant to support a busy wellness and medical professional. This role is ideal for someone who thrives in a fast-paced environment and can provide both administrative support and hands-on assistance with membership management and billing collections. Your work will directly impact client satisfaction, operational efficiency, and revenue integrity.

In Short

  • Calendar management, including appointments, and meeting logistics to ensure smooth daily operations.
  • Oversee patient and client membership records, ensuring all subscriptions are current and accurately tracked.
  • Monitor and follow up on missed or failed payments, initiating timely and professional billing collection efforts.
  • Generate and send invoices, track payments, and maintain organized billing records using appropriate tools or software.
  • Communicate with patients regarding membership questions, billing concerns, or account updates.
  • Maintain client’s email inbox, prioritizing messages, drafting responses, and flagging time-sensitive communications.
  • Identify and implement simple processes to improve billing accuracy and prevent revenue leakage.
  • Uphold patient confidentiality and ensure compliance with data protection.

Requirements

  • 2+ years of experience in an Executive Assistant, Office Manager, or administrative role—preferably in the wellness, healthcare, or medical industry.
  • Proven experience managing billing tasks and tracking recurring payments.
  • Excellent communication skills with a warm, client-centered approach.
  • Highly organized, detail-oriented, and able to work independently.
  • Comfortable using tools such as Google Workspace, email platforms, and basic invoicing systems (e.g., QuickBooks, Stripe, JaneApp – a plus but not required).
