Overview

We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support with a strong focus on data entry and appointment scheduling. The ideal candidate will ensure accurate and efficient handling of confidential information, maintain calendars, and facilitate seamless communication between executives and stakeholders.

In Short

  • Input, update, and maintain data in spreadsheets, databases, and CRM systems.
  • Verify and correct discrepancies in records or reports.
  • Organize and file electronic documents for easy retrieval.
  • Generate routine reports such as weekly schedules and contact lists.
  • Schedule, reschedule, and confirm meetings and appointments.
  • Coordinate logistics including venues, video links, and time zone considerations.
  • Screen and prioritize meeting requests based on urgency and relevance.
  • Manage travel itineraries, including accommodations and transportation.
  • Draft and proofread emails, memos, and presentations.
  • Answer and redirect phone calls professionally.

Requirements

  • Proven experience as an Executive Assistant or similar role.
  • Proficient in MS Office (Word, Excel, PowerPoint) and CRM software.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Attention to detail and problem-solving skills.
  • Ability to multitask and prioritize effectively.
  • Familiarity with travel arrangements.
  • High school diploma; additional qualifications as an Executive Assistant are a plus.
  • Fluency in English and Spanish is preferred.
