Overview

We are seeking an organized and efficient Administrative Assistant to join our team in Miami. In this dynamic role, you will handle both front office and back office responsibilities, supporting daily operations and ensuring smooth administrative functions.

In Short

  • Manage front desk operations, including greeting visitors, answering phones, and directing calls
  • Process and distribute incoming and outgoing mail
  • Maintain electronic and physical filing systems
  • Schedule and coordinate meetings, appointments, and travel arrangements
  • Perform data entry and maintain accurate records in database systems
  • Handle basic bookkeeping tasks and expense reports
  • Manage office supplies inventory and place orders as needed
  • Prepare and edit correspondence, reports, and presentations
  • Coordinate with other departments to ensure efficient workflow
  • Maintain office equipment and arrange for maintenance when needed

Requirements

  • High school diploma required; Associate's degree preferred
  • 1-2 years of administrative or clerical experience
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills
  • Excellent written and verbal communication abilities
  • Experience with office equipment operation (printers, scanners, phone systems)
  • Demonstrated ability to maintain confidentiality and handle sensitive information
  • Strong attention to detail and accuracy in data entry
  • Ability to multi-task and prioritize in a fast-paced environment
  • Professional demeanor and customer service orientation
