Healing Arts Coordinator - Part Time (Remote)

Overview

This role plays an integral part in supporting Esalen Institute’s mission by ensuring our healing arts services facilitate a transformative experience for our workshop participants, day guests, faculty, and staff. You will be expected to perform a variety of duties supporting the guests' experience through email and phone, as well as assess day to day operational needs for a seamless workflow among the massage and other healing arts practitioners.

In Short

• Assist guests in scheduling healing arts sessions and collecting payments using Mindbody software.
• Answer phone calls and return voicemails for all client inquiries.
• Promptly respond to inbound emails throughout the workday.
• Daily cross checking of appointments in Mindbody to check for errors and send out confirmation emails.
• Assist the practitioners with scheduling or client needs.
• Review upcoming schedules and flag any issues.
• Communicate with Front Office/Guest Services and Reservations teams as needed.
• Communicate with Managers daily for support and shift notes.

Requirements

• Ability to meet the demands of up to a 20-hour a week work schedule.
• Strong customer service and operations skills.
• Effective communication skills.
• Reliable, detail oriented, and efficient.
• Ability to work well alone as well as with a diverse team.
• Experience using G Suite and booking software such as Mindbody is a plus.
