Overview

We’re looking for a detail-oriented, tech-savvy administrative professional to support our operations with invoicing, virtual mail management, and light data tasks. As a Finance & Operations Assistant, you’ll play a pivotal role in the day-to-day operations of our company.

In Short

  • Part Time Full Remote position with up to 20 hours of work per week.
  • Process and manage invoices accurately and in a timely manner.
  • Set up systems access for new contractors and employees.
  • Manage state tax, unemployment, and business registration across multiple states.
  • Sort, review, and route incoming virtual mail and communications.
  • Perform light data entry and data organization tasks across systems.
  • Follow established Standard Operating Procedures (SOPs) to complete tasks with consistency and precision.
  • Create and update SOPs as needed to ensure alignment with task flow.
  • Communicate progress, blockers, and updates clearly and proactively.
  • Support general administrative and operational tasks as needed.

Requirements

  • Strong comfort with modern digital tools (e.g., Google Workspace, spreadsheets, Asana, Salesforce, or equivalents).
  • High fluency with AI tools (e.g., ChatGPT, Gemini, Claude or similar) to draft emails, generate content, and solve operational problems efficiently.
  • High level of efficiency and throughput - able to complete a high volume of tasks accurately and consistently.
  • Strong attention to detail and organizational skills.
  • Reliable daily availability during normal work hours to ensure steady progress on time-sensitive work.
  • Clear and professional written communication.
  • Some prior experience with invoicing, billing, or financial/administrative processes.
