Overview

The Real Estate Virtual Assistant will serve as the primary point of contact for tenant communications, ensuring timely responses to inquiries, coordinating lease renewals, and handling rent reminders. This role also involves general administrative support and bookkeeping tasks, including invoicing, to maintain efficient property management operations.

In Short

  • Serve as the first point of contact for tenant inquiries via email, phone, or chat.
  • Assist with lease renewals, rent reminders, and payment follow-ups.
  • Address tenant concerns and maintenance requests, coordinating with property management teams when necessary.
  • Maintain an organized database of tenant records, lease agreements, and correspondence.
  • Manage and update property listings, tenant documentation, and contracts.
  • Schedule property viewings, inspections, and maintenance appointments.
  • Organize and maintain digital filing systems for lease agreements, invoices, and property-related documents.
  • Assist in drafting reports, summaries, and communications related to property management.
  • Process rent payments, track outstanding balances, and issue invoices.
  • Assist with basic bookkeeping tasks using QuickBooks, Excel, or other accounting software.

Requirements

  • Experience in tenant communication and property management preferred.
  • Proficiency in administrative tasks and organizational skills.
  • Familiarity with bookkeeping and invoicing processes.
  • Knowledge of QuickBooks or similar accounting software is a plus.
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and accuracy in record-keeping.
