Intake Specialist - Remote

Overview

We are seeking a detail-oriented and client-focused Intake Specialist to be the first point of contact for inbound clients at our law firm. This role is critical in creating a positive client experience by guiding prospective clients through initial processes, gathering accurate information, and ensuring a smooth onboarding journey.

In Short

• Serve as the first point of contact for inbound client inquiries (phone, email, and online forms)
• Provide high-touch hand-holding support by clearly explaining legal intake processes and next steps
• Guide clients through onboarding, required documentation, and completion of intake forms
• Collect, review, and accurately document client information in internal systems
• Ensure all intake records are complete, well-written, and compliant with firm standards
• Communicate professionally and empathetically with clients, often during stressful situations
• Coordinate with internal legal and administrative teams to ensure seamless client transitions
• Must be available for a minimum of 6 hours overlapping with U.S. business hours
• Comfortable working remotely and independently while meeting deadlines

Requirements

• Excellent written and verbal communication skills
• Strong organizational and time-management abilities
• High attention to detail with the ability to handle multiple intakes simultaneously
• Confident, warm, and patient client communication style
• Strong writing skills for notes, summaries, and client correspondence
• Ability to follow structured processes while maintaining a client-first approach
• Previous experience in a law firm, legal intake, or client services role preferred
• Familiarity with onboarding workflows and form-driven processes preferred
