In Short

  • Coordinate all facets of the transaction process from executed contract to closing across multiple states.
  • Maintain an organized pipeline of active transactions and ensure all deadlines are met.
  • Oversee document collection, compliance review, and signature completion through platforms like DocuSign, Dotloop, or Skyslope.
  • Ensure all contracts and documentation are properly filed and recorded per state regulations and company standards.
  • Manage and support a team of remote, state-specific transaction coordinators.
  • Implement systems to track performance, capacity, and timeline compliance for each TC.
  • Serve as a primary point of contact for clients (agents, investors, and selling brokers) throughout the transaction lifecycle.
  • Monitor and maintain compliance with all local, state, and federal real estate regulations.
  • Provide training and ongoing support to ensure adherence to ESO’s processes and service-level expectations.
  • Work with the leadership team to refine transaction workflows, tools, and best practices.

Requirements

  • 3+ years of experience in residential real estate transaction coordination or management.
  • Experience working across multiple states and familiarity with varying state regulations.
  • Strong understanding of real estate contracts, timelines, and closing processes.
  • Exceptional organizational skills with the ability to manage multiple deadlines and details simultaneously.
  • Excellent written and verbal communication skills.
  • Comfortable working with digital tools such as Google Workspace, CRMs (HubSpot preferred), and transaction platforms (Skyslope, Dotloop, etc.).
  • Experience managing a remote team is a major plus.
  • Proactive, self-driven, and comfortable working in a fast-paced, ever-evolving environment.
